Reporting to the Manager Services for Educational Achievement the Services for Educational Achievement Program Administrative support is primarily responsible for ensuring accurate collection, entering, and analysis of data from a variety of sources; supporting caseworkers by reviewing funding applications and flagging any missing/incorrect information; providing general administrative support to  all programs under Services for Educational Achievement.

The successful candidate will work well under pressure, is a key contributor in problem solving and developing efficient information management systems, be well organized, and have excellent communication skills.

The Services for Educational Achievement Program Administrative Support is a 0.6 FTE part time position working 22.5 hours/week.  The position is based out of Braemar School location at 9359-67A Street.

Responsibilities:

Data Collection and Analysis:

  • Input data from multiple sources into appropriate databases or Excel spreadsheets.
  • Review data for deficiencies or errors, correct any incompatibilities if possible and coordinate with caseworkers to correct any errors.
  • Generate reports, store completed work in designated locations
  • Provide a monthly analysis of data, identifying trends, changes or areas of concern
  • Comply with data integrity and confidentiality policies
  • Update electronic files and delete unnecessary files
  • Assist in agency database administration and report requests
  • Work collaboratively with the Finance department to ensure that relevant data is shared between departments
  • Support monitoring of program evaluation plans

Quality Control:

  • Review applications, assessments and supporting documents (correspondence, meeting requests, etc.) to identify any missing, incomplete or inaccurate information and work with caseworkers to correct any errors
  • Track applications through the assessment process and alert caseworkers regarding any issues or stalled applications
  • When required, correctly input information into applications based on information gathered by caseworkers.

Administrative Support:

  • Create and send correspondence to participants and Learner’s Income Support Office.
  • Take minutes at meetings as required
  • Undertake regular file reviews and file maintenance procedures.
  • Complete a variety of accounting responsibilities and reconciliations as requested
  • Schedule appointments for Strengthening Hope Staff and maintain program calendars
  • Monitor program timelines and send out regular reminders and updates to staff
  • Demonstrate professionalism and maintain confidentiality in the conduct of all activities

Qualifications

Education and Experience:

  • Post-Secondary Diploma; Accounting, Office Administration,
  • 3 years Office Administration Experience

Knowledge and Skills

  • Proficient in relevant computer applications such as MS Office, Excel, software
  • Accurate keyboard skills and proven ability to enter data at the required speed
  • Ability to work independently with minimal supervision.

Salary Range: $21,000-$23,500/year based on education and experience.
