Job Overview

Reporting to the Supervisor Services for Education Achievement, the Services for Educational Achievement (SEA) Administrative Assistant is responsible for tracking, entering, and reviewing time sensitive information into the Alberta Human Services Mobius database and Terra’s internal database.

This position will compile data from multiple sources while working collaboratively within the Terra and Braemar team.  This position will also work closely with the Manager, Services for Educational Achievement and Director, Knowledge, Learning and Evaluation to generate reports and complete projects related to Terra programming.

The successful candidate will work well under pressure, is a key contributor in problem-solving, is capable of organizing data from multiple sources, is able to prioritize their work, and has excellent communication skills.

The Services for Educational Achievement Administrative Assistant is a full-time one-year position, working 37.5 hours/week and is based at the Terra Office at Braemar School.  This is a One Year Full-time position.

Responsibilities:

This position will input, and may be asked to collect, demographic, statistical and contact summary information related to program participants into the Mobius and ETO Databases by:

  • Enter and update participant data by inputting information from source documents within determined timeframes
  • Review data for errors and omissions, correcting any errors if possible in collaboration with team members
  • Generate reports and store completed work in designated locations
  • Assist in agency database administration and report requests

The SEA Administrative Assistant will use their professional skills to support the on-going needs of the SEA Unit in a timely manner: 

  • Updating data into electronic and paper files, reviewing files regularly and deleting/archiving data
  • Take minutes at meetings as needed
  • Maintain tracking spreadsheets
  • Create and send correspondence for participants under the guidance of the Supervisor, Services for Educational Achievement
  • Demonstrate professionalism and maintain confidentiality in the conduct of all activities
  • Complete workflow charts and support the documentation of policies and practices within the programs

The SEA Administrative Assistant seeks to positively contribute to the SEA Unit and the Terra Centre by aligning their work to the mission/vision/values of Terra and by working in a trauma-informed environment:

  • Adhere to Terra’s policies and procedures and to the professional code of ethics of applicable professional associations
  • Contribute to the development of team and agency-wide knowledge and skills
  • Participate in on-going professional development and the performance review process
  • Conduct interactions with young parents in a professional manner, maintaining healthy professional boundaries in all interactions.
  • Expand personal sensitivity and knowledge regarding different and diverse cultures.
  • Complete training related to trauma-informed practices and Adverse Childhood Experiences offered by the Supervisor, Services for Educational Achievement

Qualifications

Education and Experience:

  • Post-Secondary Diploma including formal computer training
  • 3 years Data Entry/ Office Administration Experience

Knowledge and Skills

  • Proficient in relevant computer applications such as MS Office, Excel, software
  • Accurate keyboard skills and proven ability to enter data at the required speed
  • Ability to work independently with minimal supervision.

Salary Range: $38,500-40,500/year based on education and experience.  Upon completion of a probationary period, we offer a comprehensive, competitive, extended health benefits package including RRSP contribution
