Job Overview

The Administration and Support Service position is a key member of the Finance and Admin Team and is responsible for ensuring a welcoming and positive experience for all Terra participants, visitors, and staff. This position will provide participant support for the Terra programs as well as administrative support to the other departments in the agency.

The successful candidate will have the ability to work effectively in a busy environment, be respectful of the confidential matters of all Terra staff and participants and is always committed to quality work. This position requires a self-directed work ethic, the ability to prioritize work, and has excellent communication skills.

The Administration and Support Service position is permanent full time, 37.5 hours a week, during office hours from 8:30 to 4:30 Monday through Friday based out of the downtown office located at 9930-106 Street NW.

Key Responsibilities

  • Pre-screens incoming calls for eligibility and provide information and referrals for incidental calls from the community inquiring about services. Tracks incidental calls on PIMR and documents any follow-up provided. 
  • Creates and maintains registrations for agency courses and programs. Provides follow up calls to program registrants reminding of upcoming group and explaining arrival process
  • Compiles quarterly program statistics and orders and maintains program supplies
  • Act as liaison for Terra building and its maintenance to ensure the site is operating effectively and safely
  • Respond to general agency inquiries via phone, email and social media. Direct inquires to appropriate units as required
  • Maintain office security by following safety procedures and controlling access
  • Open and close the switchboard and retrieve messages, receive and distribute incoming email, faxes, mail and other correspondence
  • Orders, sorts, stores, and maintains inventory of office and photocopier supplies for staff 
  • Supports the maintenance of Terra’s social media channels including scheduling posts, responding to any inquiries, and assisting with website updates  
  • Receives and documents Clothes Closet and In-Kind donations.
  • Attend General Staff Meetings. Takes and distributes meeting minutes. Sends out meeting requests. 
  • Provides timely and accurate support to the agency as required under the direct supervision of the Strengthening Hope Finance
  • Ensures all inquiries are followed-up on, and facilitates introductions to other Terra staff
  • Attend trainings to continue to build competence


  • Minimum 2 years’ experience in an office setting, preferably in a non-profit environment 
  • Experience working with, or an understanding of vulnerable populations  
  • Expert knowledge of Microsoft Office Suite  
  • Exceptional customer service and communication skills
  • Excellent organizational skills and the ability to manage competing timelines 
  • Experience with databases and websites is preferred

  • Clear Criminal Record Check and Child Intervention Check that are dated within 90 Days of the start date

Salary Range: $38 000-$45 000/year based on education and experience.  Upon completion of a probationary period, we offer a comprehensive, competitive, extended health benefits package including RRSP contribution.
