Norwood Child and Family Resource Centre is an Edmonton based non-profit organization that has been supporting children and families since 1963, with a vision of Healthy Children, Healthy Families, Healthy Communities. Our programs and services are designed to strengthen and enrich families with children birth – 6 years old. Early childhood experiences are aimed at fostering optimal child development and healthy parent-child attachment.  Parent education opportunities are created to support building the capacity of families.  Family support services are provided to support families as the child’s first and most important teacher.  Information and referral is a key practice in supporting families to grow and learn within their own communities.  Programs are delivered using a holistic approach to support the social, emotional, intellectual, language, physical and creative needs of children and families in the community.  For more information, visit https://www.norwoodcentre.com.

The Executive Assistant is responsible for administrative tasks that support the Executive Director. This position has a variety of responsibilities within the scope of the role to ensure that the objectives are achieved.

This position requires a flexible work schedule which includes occasional evenings and weekends to support leadership and Board of Director activities.

Reporting to the Executive Director, the Executive Assistant is responsible for the following:

  • Acting as the administrative point of contact between the Executive Director, the Board of Directors, C5 partners and all other internal/external contacts
  • Maintaining a high level of confidentiality and professionalism regarding employee information and other highly sensitive information
  • Providing administrative support to the Board of Directors including coordinating Board meetings, taking meeting minutes, distributing Board communications, creating and maintaining Board documentation and files, and training opportunities
  • Coordinating meetings and appointments and managing the Executive Director’s calendar
  • Providing meeting support through preparing agendas, reserving and setting up IT equipment, ordering catering, and taking accurate meeting minutes in a timely manner for the Executive Director
  • Providing support related to receiving/initiating calls, messages, and routing correspondence for the Executive Director
  • Planning and coordinating staff and Board events (Annual Staff Awards night, All Staff meetings, June Fun Day, November Staff Appreciation and Agency Planning days, Management Advances, Annual General Meetings, etc.)
  • Assisting with the production and collection of data to compile various correspondence, documents, reports, spreadsheets, graphs, board reports, presentations, strategic plan, Annual Report and grant/funding submissions
  • Performing other administrative tasks as required.

The ideal candidate will possess the following qualifications:

  • Certificate in Office Administration or an equivalent program
  • Minimum of 5 years’ experience supporting an executive
  • Advanced level proficiency in Microsoft Office and database systems
  • Ability to manage multiple tasks and priorities simultaneously and meet time-sensitive deadlines, in a sometimes extremely demanding environment with frequently changing priorities
  • Ability to positively and professionally engage with various individuals and groups such as staff members, agency participants, Board members, politicians, community representatives, etc.
  • Ability to work independently, problem solve and take initiative
  • A valid driver’s license and access to a reliable vehicle
  • Criminal Record Check and Child Welfare Intervention Record Check (findings will be reviewed on a case-by-case basis)
  • Experience working with children and families from diverse cultural and socio-economic backgrounds is an asset

The starting hourly range for this role is $25.48-$31.85 per hour ($46,374-$57,967 per year) based on a 35-hour week.
