Job Purpose:

The Intake and Administrative manager will be responsible for Boyle Street’s intake and referral office, as well as the Community Centre administrative team. Intake and reception is the first point of contact for new clients and guests as well as an information and referral point for our regular community members.  This role will be responsible to provide an oversight role to the process that new and existing clients use to access services in the building.

KEY AREAS OF RESPONSIBILITIES:

  • Develop and design the intake process at Boyle Street in collaboration with other managers and programs. Manage the Intake and Referral team of Navigators and ensure that the intake area is a welcoming, accessible place for community members.
  • Provide onsite support for complex referrals or intakes, support the navigators as needed.
  • Administer and manage the intake process for client data collection and ensure that reporting is carried out in an efficient, consistent and timely manner. Pulling and development of reports on intake and referral.
  • Reporting to leadership and funders as required.
  • Work with the Director of Operations, Programs and Development to establish strategic goals for the intake process at Boyle Street.
  • Supervise the Community Centre Admin and Reception staff to ensure that BSCS staff are supported to access basic operational services such as phones, keys, vehicles and other basic infrastructure requirements as required.
  • Management of Receptionist to ensure that external stakeholder, public guests and non-client phone inquires are being directed and responded to in a responsive, friendly and effective manner.
  • Provide support and supervision to all team members (admin assistant, navigators and receptionist).
  • Coordinate monthly intake committee meetings among the Boyle Street departments to support connection of community members to services and provide knowledge sharing of services in Edmonton to frontline staff.
  • Ensure the work of the intake and referral office is in line with the mandate, mission and spirit of Boyle Street.
  • Building strong external partnerships with colleagues in government and the non- profit sector and exploring ways to work together in concrete ways to benefit those we serve.

Qualifications:

Education: Degree in Social Work, Social Services, Social Sciences or Humanities preferred.

Skills, Abilities and Attitudes:

  • Strong leadership, teamwork and organizational skills
  • Effective interpersonal skills, strong emotional intelligence and communication abilities
  • Non-judgemental, empathetic, creative and enthusiastic
  • Great analytical skills and an understanding for data and evaluation
  • Understanding of  the inner city and its systems and processes

Experience:

  • Minimum of 2 years experiences managing staff and working with/in communities who have multiple barriers to inclusion
  • Experience with inner city agencies an asset
  • Criminal Record and Child Intervention Checks (results will be reviewed on a case by case basis)
